Yorkshire Spray Finishing Ltd (“YSF”, “we”, “us”) is registered in England, company number 17395980. We are the controller of the personal information described in this policy, which means we decide how and why it is used.

2. Information we collect

We collect the information you give us when you contact us or ask for a quote:

  • your name and email address, and your phone number if you give it

  • your company name, if you provide one

  • details of the work you would like us to do, including what you write in our quote form

  • photographs or files you email to us (our quote form does not accept uploads)

  • anything else you tell or send us by email, phone or through the website

Please only send photographs and information that are needed to describe the work.

When you visit our website, our website provider (Squarespace) may automatically collect limited technical information, such as your IP address, browser and device type, and the pages you view. Our spam protection (Google reCAPTCHA) also receives technical information, such as your IP address, when you visit. 3. How we use your information and our lawful bases

We only use personal information where the law allows. We use your information for the purposes below, on these lawful bases:

  • Responding to your enquiry, preparing quotes and carrying out the work you ask for: taking steps at your request before a contract, or performing a contract.

  • Keeping accounting and tax records: our legal obligations.

  • Running and securing our website and business, handling enquiries efficiently, and establishing or defending legal claims: our legitimate interests. We consider the effect on you and do not rely on this where your interests outweigh ours.

  • Analytics cookies on our website: your consent, which you can withdraw at any time.

  • Marketing: we will only contact you for marketing if you have asked us to or have given your consent.

We do not sell your personal information. We do not use it for automated decision-making or profiling.

4. Who we share it with

We share information only where there is a valid reason, and only what is needed, with:

  • our website, hosting, analytics, IT and email providers (including Squarespace)

  • Google (reCAPTCHA), which helps protect our website and forms from spam

  • our accountants and other professional advisers

  • regulators, law enforcement or other authorities, where the law requires it

5. International transfers

Squarespace and some of our other providers are based in, or process information in, countries outside the UK, including the United States. Where this happens, we rely on the safeguards our providers put in place, such as UK adequacy arrangements or the UK International Data Transfer Agreement or Addendum. 6. How long we keep it

We keep enquiry correspondence and quote form submissions that do not lead to work for up to 24 months, then delete them. Records of completed work and invoices are kept for 6 years. We may keep information for longer where the law requires it or where it is needed to deal with a legal claim.

7. Your rights

You have the right to:

  • be told how we use your information (this policy)

  • ask for a copy of your personal information

  • ask us to correct it if it is wrong or incomplete

  • ask us to delete it, in certain circumstances

  • ask us to restrict how we use it, in certain circumstances

  • object to our use of it where we rely on legitimate interests

  • ask for your information in a portable format, where this applies

Where we rely on your consent, you can withdraw it at any time. To make a request, contact us using the details above. We will normally respond within one month, and will tell you if we need longer. We do not usually charge a fee.

8. If you choose not to give us information

You do not have to give us your personal information, but we cannot reply to an enquiry or prepare a quote without a name and a way to contact you.

10. Security

We take reasonable technical and organisational steps to protect your information from loss, misuse and unauthorised access. Email is not always secure, so please do not send sensitive information by email unless it is needed.

We may update this policy from time to time. The date at the top shows when it was last changed.
